Smart Scheduler Links allow you to share links with others that they can use to schedule meetings on your calendar at their convenience. This feature is provided by Read for free to all users, regardless of their plan. No more back-and-forth emails or frustrating scheduling conflicts. Simply send your smart scheduling link and watch your meetings seamlessly fall into place, freeing up your time for more important tasks.
You can find and configure your own Smart Scheduler Links on the following pages:
- Calendar > Scheduling: Here you can find and manage all of your scheduling links. Read generates several scheduling links by default for different meeting lengths, and also lets you create custom links.
- Account Settings > Smart Scheduler: Here you can manage some higher level settings that affect all of your links
What makes Smart Scheduler Links "Smart"?
Read Smart Scheduler uses AI to analyze your calendar and nudges others to book in optimal meeting slots by marking certain times as "recommended":
It does this by analyzing your past meeting data in order to identify times when you typically have high engagement and punctuality. It will also prefer to recommend times that don't impede your own focus time, in other words it will encourage scheduling meetings immediately before or after other meetings on your calendar to maximize your continuous time spans without meetings.
Configuring your Smart Scheduler settings
You can go to Account Settings > Smart Scheduler to enable Smart Scheduler Links and configure it to your preferences. There are several important settings that can be found on this page:
- Smart Scheduler links can be turned on or off for your Read account. If turned off, any links that you previously shared with people will be disabled (but existing meetings that were already booked will remain).
- Custom URL lets you choose a custom URL rather than the one Read automatically generates for you. You can use any combination of letters, numbers, underscores (_), and hyphens (-) in your custom URL, as long as the URL is not already taken by another user. If you change this, it will break any links that were shared with your old URL.
- Calendar & Availability lets you optionally specify your available hours that you want to allow people to book during. If this is turned off, people can book you at any time of the day and day of the week that is not already "busy" on your calendar. You can also choose to enforce a minimum notice for scheduling, so that people can't book you for a meeting too soon in the future.
- Default conferencing platform is where you pick which video conferencing platform (Zoom, Google Meet, or Microsoft Teams) you want to use for your scheduled meetings, or you can let the person scheduling the meeting choose from whatever is available. Certain options will be disabled if you don't have the corresponding calendar integration set up (e.g. you need to connect your Zoom account in order to schedule meetings on Zoom).
Last but not least, if you have multiple calendars connected to Read (e.g. both Outlook and Google Calendar), there is also a setting for specifying which calendar you want to use with the Smart Scheduler Links. This "default calendar" will be used to display availability, schedule, set available hours, and determine time zone. You can update your default calendar on your Integrations page by clicking on the calendar integration on the left, and then selecting "Set as default calendar" on the right:
Managing your links
If you have Smart Scheduler Links enabled, Read will generate 5 links for you by default. There are 4 links for different preset meeting lengths (15/30/60/90 minutes), and one base link that includes all the default options and allows the recipient to choose. These links can be found and managed by going to Calendar > Scheduling.
The base link can also be copied easily from the Smart Scheduler Chrome extension or from your left hand menu on Read:
From the Calendar > Scheduling page, you can disable any of the default scheduling links for specific lengths. Doing so will make those links unusable, and also remove that meeting length as an option from the main base link.
On the same page, you can also create and manage multiple custom links. The custom links can be uniquely configured in a few ways, allowing you to choose:
- Link name
- Meeting duration
- Conferencing platform
- How far in the future you want to allow someone to schedule a meeting
- Whether or not to require the minimum notice (specified on Account Settings > Smart Scheduler)
