Workspace owners and admins can remove people from a Workspace at any time. Team managers can’t remove people from the Workspace.
Offboarding someone who’s leaving your organization? Deactivate their account and transfer their reports instead of removing them. Removing someone doesn’t block their access to Read or move their reports. See Removing vs. deactivating below.
Using SCIM? You can’t remove SCIM-provisioned users in Read. Deprovision them in your identity provider instead. See Managing users and teams with SCIM provisioning.
How to remove someone
- Open Workspace Settings from the menu in the bottom left, then go to People.
- Find the person you want to remove.
- Remove them:
-
One person: Click the three-dot menu on their row, then Remove From Workspace.
-
Several people: Select them with the checkboxes, click Remove in the menu at the bottom of the screen, then click Continue.
-
Note: You can’t remove someone who’s the only manager of a team. Assign another manager to the team first.
What happens when someone is removed
They lose:
- Access to Workspace content, like the Your Workspace tab on the For You page, and reports shared with their team or the whole Workspace
- Your Workspace’s plan. Their account usually goes back to Free, unless they paid for Read themselves before joining and that billing period hasn’t ended.
They keep:
- Their Read account, which they can keep using
- Reports they own
- Reports shared with them directly. If they’re listed under Who Has Access in a report’s Share dialog, they still have access until someone removes them.
Your licenses:
Removing someone doesn’t reduce your license count. Their license becomes available for someone else. To stop paying for it, remove the license from your Plan & Billing page. You won’t get a refund for the current billing cycle, but you won’t be charged for that license from the next cycle on.
Removing vs. deactivating
| Remove | Deactivate | |
|---|---|---|
| Frees up their license | ✓ | ✓ |
| Blocks them from signing in to Read | ✓ | |
| Lets you transfer their reports to someone else | ✓ | |
| They keep reports they own or that were shared directly with them | ✓ |
Removing someone makes sense if they used Read on their own outside your organization and want to keep using it after they leave.
If someone is leaving your organization, deactivate them in Workspace Settings > People, then transfer their reports to their manager or another appropriate person. See How do I offboard someone from my Read workspace?
