What is the Meeting Policy?
The Meeting Policy page shows the best days of the week and times of day to have a meeting. It also breaks results down by meeting size and duration, so you can find the best day, time, and size for your meetings. You can view every breakdown (Day of Week, Time of Day, Meeting Size, and Meeting Duration) on the Read Score, Sentiment, Engagement, and On-Time Rate* tabs.
*Meeting On Time is based on when Read sees the first participant (usually the host) join the meeting. If the first participant joins within 1 minute of the scheduled start time, the meeting is "On Time". On some platforms (for example, Google Meet), Read has to be admitted to the meeting. If Read is admitted more than 1 minute after the start time, it can't tell when the meeting actually started, so the meeting is counted as "On Time" by default.
How do I view aggregated meeting metrics?
At the top of the Meeting Policy page, the View selector lets you switch between your own meetings (Me) and your Workspace, if your Workspace permissions allow it. Admins control who can see aggregate metrics with the Workspace Trends and Team Trends permissions in Workspace Settings > Permissions > Aggregate Metrics & Trends.
How can I customize the Read Assistant?
If you're a Workspace admin:
- Click your name in the bottom-left corner and select Workspace Settings.
- On the Settings tab, expand the Read Assistant section.
- Choose the default name for the Read Assistant, and whether users in your Workspace can change it.
For details, see How can I customize the Read Assistant name that shows during meetings?
What administrative settings are available for Workspaces?
Read gives you full control over which users can access different parts of your Workspace's meeting data. You do this by giving each user in your Workspace a role (User, Manager, or Admin) and then setting the Workspace permissions for each role on the Permissions tab of Workspace Settings. For a full list, see What are all of the settings and permissions available with Workspaces?
How do I configure a specific team's settings instead of the whole Workspace's?
Each team can have the settings that make the most sense for how it uses Read. To change a team's settings:
- Go to Workspace Settings > Teams.
- Select the team you want to configure.
- Click Configure Team in the top right.
Here you can adjust settings for that team, such as its Meeting Auto-Join Preferences and whether team members' reports are shared with each other (Shared Reporting).
In our organization, employees can be on several teams. Can users be on multiple teams in a Read Workspace?
Yes! You can add a user to multiple teams. For example, if you have an Exec team in your Workspace and some of its members are also on the Sales team, they can be members of both teams. If a user's teams have different settings, the Multi-Team Permissions setting (on the Permissions tab) decides whether the least or most restrictive settings apply.
How do I change a team member from a User role to a Manager role?
Go to Workspace Settings > Teams, select the team they're on, then choose Manager from their Team Role drop-down.
I'm a manager and want visibility into how my team's meetings are going. What do I do?
Ask your admin to update the Team Report Access permission so managers can view their team's reports. It's in Workspace Settings > Permissions > Meeting Report Access > Team Report Access. See How can I automatically share reports with my Team? (Team Report Access)
Does everyone in a Workspace see each other's meeting analytics?
It depends on how your Workspace admin has set up roles and permissions. A Workspace can be set up so everyone can see all meeting reports, only managers can see others' reports, or nobody can see each other's reports. Permissions are highly customizable, so each Workspace can be set up to fit its organization.
We want to use transcription in our Workspace, but don't want everyone to see meeting transcripts.
- Make sure transcription is turned on for the Workspace in Workspace Settings > Settings > Meeting Insights.
- Go to Workspace Settings > Permissions > Meeting Report Access > Transcripts.
- Choose who can view transcripts (only admins, admins and managers, or everyone), and whether managers can turn this off for non-manager members of their teams.
What happens if I remove someone from my Workspace?
If someone is leaving your organization, we recommend deactivating them instead of removing them, then transferring their reports to someone else. See How do I offboard someone from my Read workspace?
If you deactivate a user:
- They can no longer log in to Read with that account, and the Read Assistant won't join meetings for them.
- They no longer use one of your Workspace's licenses.
- You can transfer their meeting reports to another user, such as their manager. The new owner gets all of the deactivated user's reports that belong to the Workspace. Transfers can't be undone.
If you remove a user:
- Their license becomes available for someone else (it doesn't reduce your license count).
- They keep their Read account, the reports they own, and any reports shared with them directly. They lose access to Workspace content, like reports shared with their team or the whole Workspace.
- Reports they created while in the Workspace stay associated with the Workspace (for example, an admin with Global Report Access can still see them). Anyone who had access before the removal keeps it.
- They're still listed as the owner of their reports, so they can still remove access for others or delete those reports. Removing a user doesn't transfer their reports; to transfer reports, deactivate the user instead.
