The key difference between a Personal Folder and a Shared Folder, is that you can only add reports to a Shared Folder that you are already an Owner or Editor of. You cannot add reports to a Shared Folder if you are only a Viewer. This is because you need sufficient permissions to be able to change the sharing distribution of a report. As a result, if you have an existing personal folder that you want to share with others, you will need to "convert" that personal folder to a shared folder.
Note: Only folder owners can convert a folder type between personal and shared.
How to Convert
- Access Folder Settings: On the desired folder page, choose "Edit Folder" from the overflow (three dot) menu.
- Select “Shared Folder” Type: From the "Folder Type" drop down, select "Shared Folder". You will be prompted with a confirmation dialogue.
- Review Report Eligibility: Only reports that you own or have editor access to can be included in the new shared folder. Reports where you have only viewer access will be excluded. You may be prompted with a dialogue that explains which reports will not be moved to the shared folder. You can view the individual report details.
- Select a Conversion Option: Given the report eligibility, you may choose to convert the existing folder or create a new shared folder.
- Convert Folder: If you choose this option, and any reports you do not own or have editor rights to will no longer be in this folder,.
- Create New Folder: This option saves your existing personal folder as is, and creates a new shared folder with all of the reports that you are an Owner or Editor of. Any reports you do not own or have editor rights to will stay in your personal folder but will not be migrated to the new shared folder.
- Add Members and Set Permissions: Just like when creating a shared folder, assign the report access level (viewer or editor) for all members. Then, use the "Members" tab to invite individuals, teams, or workspaces to the folder and assign their folder permission level (viewer or editor).
- Save Changes: The folder will now appear as a shared folder, and all invited members will have access to its contents.
