Users can organize their Read AI meeting reports using two types of folders - personal folders and shared folders (Smart Folders are technically a personal folder). Custom folders are created and managed by users for personalized organization, while Smart Folders are automatically generated by Read AI to group reports based on detected topics. By default, any new folder you create is a custom folder.
Personal Folders

A custom personal folder lets you organize your meeting reports according to your specific needs—whether by project, team, client, or any other criteria that suits your workflow. You have full control to create, name, and manage these folders, making it easy to keep related reports together in a way that works best for you. Your new folders are visible only to you, keeping your system private until you’re ready to share.
- Personal folders are denoted by a "lock" icon
- You can add any report to a personal folder, no matter whether if you're an owner, editor or viewer of the report
- Deleting Custom Folders: Deleting a custom folder is a permanent action and cannot be undone. You do not delete underlying report data by deleting a folder.
Smart Folders
Smart Folders are a type of personal folder, that automatically group your meeting reports by detected topics, so there’s no need for manual sorting. The names of Smart Folders are generated based on the topics they cover and cannot be edited. These folders dynamically update to include future reports that match their topic, helping you stay organized as new reports are added.
- Smart Folders are denoted with a "star" icon
- You can add any report to a Smart Folder, even as the folder continues to update automatically
- Hiding Smart Folders: While you cannot delete Smart Folders, you can choose to hide any that aren’t relevant to you. Hidden Smart Folders can be restored at any time from the Account Settings > Folders page by unhiding them. This gives you flexibility to keep your folder list focused on what matters most.
Shared Folders
Shared Folders enable collaboration by allowing you to share a collection of reports with other individuals, teams, or entire workspaces. When you create a folder, you can designate it as either Personal or Shared. In a Shared Folder, all members receive the same access level (viewer or editor) to every report in the folder, regardless of their previous permissions. Shared Folders are ideal for team projects, onboarding, or any scenario where multiple people need access to the same set of reports.
- Converting Folders: You can convert an existing personal folder to a shared folder at any time. However, only reports you own or have editor access to will be included in the shared folder.
- Membership: Shared Folders can include individuals, teams, or workspaces as members, making it easy to manage access for dynamic groups.
