Folder rules apply to both Personal and Shared folders. You can create rules that automatically puts reports you have editor access to into a folder when a meeting matches criteria you define. This helps you organize and find recurring meetings and common workflows without having to file them one by one.
Create a folder rule
Folder rules allows users to define which folder Read should use for future meetings based on meeting title and participant criteria.
- Navigate to the Folders page.
- Select 'New Folder' to create a new folder or 'Edit Folder' on a existing folder
- Select Rules.
- Add conditions based on the meeting title or participants.
- Save the rule.
You can add up to two conditions to each rule. When a rule has multiple conditions, the meeting must match all of them for it to be put into the folder.
Rules apply to future meeting reports. They do not change reports that have already been generated.
Shared folder rules
Creating rules for shared folders depend on your permissions for specific meeting reports. Any folder collaborator can add and/or edit rules on a shared folder, for themselves:
- Your rules only apply to reports you have owner and/or editor access to
- Your rules do not impact other members of a folder (you cannot set up a rule that sorts reports for other folder members- they need to set up their own rules)
- The only rules you will see on a folder are your own- you cannot see the rules that other folder collaborators have added for themselves
- There is a limit of 100 rules per folder
