If Read AI is recording a meeting you're in, it's because someone in the meeting chose to use it to take notes. You don't need a Read AI account to join the meeting or to opt out, and you can opt out before or during the meeting.
This article explains what Read AI is, why it's in your meeting, and what happens to the recording depending on what you choose.
What is Read AI?
Read AI is an AI meeting assistant, used by millions of people around the world. It joins video meetings on Zoom, Microsoft Teams and Google Meet, and turns the conversation into a transcript, summary, action items and key discussion points. This saves people from taking notes by hand and helps them remember what was decided.
Why is Read AI in my meeting?
Someone invited to the meeting uses Read AI and has it set to record. That's often the organizer, but it can be any participant. Read AI doesn't join meetings on its own.
You might have noticed Read AI in one of these ways:
- An email before the meeting telling you that someone plans to record it with Read AI. Some organizations send these to everyone outside their team, so guests can opt out in advance.
- "Read AI" in the participant list, joined to the call like another attendee.
- A message in the meeting chat explaining that Read AI is recording and how to stop it.
- Your meeting app's recording indicator or a request for permission to record.
What you see depends on the meeting platform and how the person is recording.
Can I opt out?
Yes. You can opt out before or during the meeting, or ask for a recording to be deleted afterward. You don't need a Read AI account for any of these.

If you generally prefer not to be recorded, you should also tell the person who invited Read AI so they know not to enable it for future meetings with you.
What happens to the recording?
If you don't opt out
Read AI records the meeting and creates a meeting report with a transcript, summary and action items. The report belongs to whomever recorded it, and they decide who else can see it. Depending on the owner's settings, other participants may automatically get access to the report and an email recap with a link to it. The owner's settings also decide whether the audio/video and transcript are kept.
If you opt out

| During the meeting | Read AI leaves the meeting and deletes everything it captured from that session. No report is created. |

During a meeting, stopping recording is different from opting out. Stopping recording, e.g., by sending "Read stop" in the chat or simply removing Read AI from the call will still create a report from what was already recorded. Opt out instead if you don't want any record kept.
How Read AI protects your data
- Encrypted. Meeting data is encrypted while it's sent and while it's stored.
- Private by default. Reports are only available to people with access to them, behind an account login. Read AI doesn't publish meeting data to the open internet.
- Not sold. Read AI doesn't sell user data. It shares information with third parties only as needed to provide its service.
- Controlled by the report owner. The person who recorded the meeting decides who the report is shared with, and can delete it at any time.
- Independently certified. Read AI is SOC 2 Type 2 certified and HIPAA and GDPR compliant.
- Not used to train AI by default. Meeting data isn't used to train AI models unless a user chooses to join the Read Customer Experience Program, which is opt-in only.
