If you don't want Read AI in a meeting, this guide shows you how to stop it before the meeting, keep it out when it asks to join, or remove it once it's in.
Turn off Read before the meeting starts (Read AI users)
If you use Read and decide you don't want it to join a meeting:
- Go to your Read AI Calendar.
- Find the meeting.
- Turn off Add Read? for that meeting.
- If it's a recurring meeting, choose This meeting only or This and all future meetings in this series.
Do this at least 15 minutes before the meeting starts so Read has time to sync.
External invitees: If you were invited to a meeting that someone plans to record with Read, you may get an email ahead of time with an option to opt out. See Advance Notice and Opt Out of Meeting Recording.
Deny Read at the start of a meeting (host or participant)
Depending on the meeting platform's settings, Read usually asks to be let in before it joins. If the host or another participant sees the request and doesn't want Read in the meeting, they can deny it.
Microsoft Teams
Read waits in the lobby until someone admits it. To keep it out, select Deny on the lobby notification.
Google Meet
In Google Meet, Read can join either as an AI meeting agent or through Using Read's Google Meet Native Recording.
If Read joins as an agent
You'll see a notification that someone wants to join. It can look a couple of different ways:
- Click View to open the People panel.
- Click the three dots next to the notetaker and select Deny entry. If Read is the only one waiting, you can also click Deny all.
If Read joins through native recording
At the scheduled start time, someone in the meeting will see a pop-up asking them to confirm that all participants have agreed to be recorded. To keep Read from recording, close the pop-up without confirming (click Cancel).
Zoom
Note: Read can only join a Zoom meeting if the person who invited it has connected their Zoom account to Read and is in the meeting, signed in to that same Zoom account. Because of this, you may not see a request to admit Read. If Read joins and you don't want it there, remove it as described below. See Upcoming Changes to Zoom Meetings.
Remove Read after it's been admitted (host)
Read joins as a participant with its own video tile, so the host can remove it the same way they would remove anyone else.
Microsoft Teams
- Open the People (Participants) panel.
- Find the notetaker and open its options menu.
- Select Remove from meeting. No confirmation is needed.
Google Meet
- Click the People icon.
- Click the three dots next to the notetaker and select Remove from the call.
- Click Remove to confirm. Read will leave the call.
Zoom
- Click the Participants icon.
- Find the notetaker, click More (or the three dots) next to it, and select Remove.
- Click Remove again to confirm. Read will leave the call.
Remove Read after it's been admitted (any participant)
We ask Read users to let others know when they're recording a meeting. When possible, Read also posts a message in the meeting chat when it joins. The message includes:
- A notice that the meeting is being recorded
- The name of the person (or people) who invited Read
- How to remove Read, using a chat command or an opt-out link
Any participant can remove Read at any time. If an opt-out link is posted in the chat, click the link to opt out (the chat command won't work in that case). If there's no link, type one of these commands in the chat, without the quotation marks. They take effect right away.
| Command | What happens |
|---|---|
| "Read stop" | Read leaves the meeting and creates a report from what it captured before the command. |
| "Opt out" | Read leaves the meeting and deletes all recorded data. No report is created. |
Microsoft Teams
If an opt-out link is posted in the chat, click it to remove Read. If there's no link, type "Read stop" or "Opt out" in the chat.
Google Meet
If Read joins as an agent
Any participant can type one of these in the chat and send it:
- "Read stop": Read leaves and creates a report with the content recorded up to that point.
- "Opt out": Read leaves, all recorded content is deleted, and no report is created.
If Read joins through native recording
Read isn't in the meeting as a participant, so chat commands don't work. Instead, any participant can:
- Stop recording and keep a report: Click the Read AI logo at the top right, then click Stop sharing. Read stops recording and creates a report with the content recorded up to that point.
- Stop Read from the Read AI add-on: Click Meeting tools (the grid icon in the bottom right corner), open the Add-ons tab, and click Read AI under Active. In the Read AI panel, click the Read AI logo at the bottom left and select Stop recording.
Zoom
Type "Read stop" or "Opt out" in the chat.
Note: If you joined the meeting late, you may not see Read's chat message unless the host pinned it. The chat commands still work.
Since the name of the person who invited Read appears in the chat message, you can always contact them and ask them not to use Read in meetings with you.
We offer all these ways to remove Read AI from meetings because we are committed to building Read AI with privacy, transparency, and user control at its core.
