Your view vs. the shared view
Every report has two states:
- Personal view — only you see this. It's what gets updated when you apply a template.
- Shared view — everyone with access sees this. It only changes when you explicitly publish it.
This means you can try different templates without affecting your teammates or any external viewers (like customers or prospects).
Applying a template
- Open a meeting report.
- Open the Templates dropdown.
- Select a template.
The template is applied to your personal view only. Nothing changes for anyone else.
Heads up: This is different from how things worked before. Previously, applying a template changed the shared view right away. Now your changes stay personal until you publish them.
The default template is called the Read AI Recap and is always available in the picker.
Publishing to everyone
When you're ready to share your layout with everyone, select Set as Shared View from the Templates dropdown. You'll also see a prompt to do this right after applying a template — you can confirm or skip it and come back later.
Only owners and editors can publish to the shared view.
A few things to know
- View indicator — the report shows whether you're on your personal view or the shared view. You can switch between them at any time.
- Editing template content — edits you make to templated sections affect everyone using that template. Read AI will show a reminder before you save.
- Pushing to a CRM — when you push a report to a CRM, it sends your personal view, so you can keep an external-friendly shared view while pushing your preferred format to your CRM.
