You can set a default template or you can create rules that automatically apply a report template when a meeting matches criteria you define. This helps you use the right report format for recurring meetings and common workflows without selecting a template each time.
Set a default template
You can set a default template that Read AI applies this template whenever a meeting does not match one of your auto-apply rules.
If you do not choose another default, meetings that do not match a rule use Read AI Recap.
Create an auto-apply rule
Auto-Apply Rules let users define which report template Read should use for future meetings based on meeting title and participant criteria.
- Navigate to the Template settings page.
- Select Create Rule.
- Choose the template you want to apply.
- Add conditions based on the meeting title or participants.
- Save the rule.
You can add up to two conditions to each rule. When a rule has multiple conditions, the meeting must match all of them for the template to be applied.
Rules apply to future meeting reports. They do not change reports that have already been generated.
Manage rule priority
You can create up to 10 auto-apply rules.
If a meeting matches more than one rule, Read AI uses the rule with the highest priority. Reorder your rules to control which template is applied:
- Open Auto-Apply Rules.
- Drag the rules into your preferred order.
You can return to this page at any time to edit or delete a rule.
If you delete a custom template used by a rule, the associated rule is also removed & the affected rule owner will receive an email. If you delete your default template, your default returns to Read AI Recap.
Personal vs. Shared views
Templates applied through your rules update your personal view only. They do not automatically change what teammates or external viewers see.
If you’re a meeting report owner or editor and want everyone with access to see the templated report:
- Open the meeting report.
- Open the Templates dropdown.
- Select Set as Shared View.
- Confirm the update.
You can also select a different template for an individual meeting. This overrides the rule for that report without changing the rule or affecting future meetings.
