You can set a default report template, and create rules that apply a template automatically when a meeting matches conditions you choose. That way recurring meetings and common workflows get the right format without you picking a template each time.
Set a default template
Read uses your default template for any meeting that doesn’t match one of your rules. If you haven’t chosen a default, Read uses Read AI Recap.
- Go to Account Settings > Templates.
- Under Your Default Template, choose a template from the drop-down.
- Click Save.
Create an auto-apply rule
Rules tell Read which template to use for future meetings, based on the meeting’s title or participants.
- Go to Account Settings > Templates.
- Click Create Rule.
- Choose the template you want to apply.
- Add conditions based on the meeting title or participants.
- Click Save.
Each rule can have up to two conditions. If a rule has two conditions, a meeting must match both for the template to be applied.
Rules only apply to future meeting reports. They don’t change reports that already exist.
Manage rule priority
You can create up to 10 rules.
If a meeting matches more than one rule, Read uses the one highest in your list. To change the order:
- Go to Account Settings > Templates and find your Auto-Apply Rules.
- Drag your rules into the order you want.
You can come back at any time to edit or delete a rule.
If you delete a template:
- A custom template used by a rule: The rule is deleted too, and the rule’s owner gets an email.
- Your default template: Your default goes back to Read AI Recap.
Personal vs. shared views
Templates applied by your rules only change your personal view. They don’t change what teammates or external viewers see.
If you’re the report’s owner or an editor, you can show your templated view to everyone:
- Open the meeting report.
- Open the Templates drop-down.
- Select Set as Shared View.
- Confirm the change.
You can also choose a different template for a single meeting. This only changes that report. It doesn’t change your rule or future meetings. See Applying report templates.
