This article covers just Teams-specific issues, so if you haven't already reviewed Why didn't Read join my meeting? you are strongly encouraged to do so.
If you have Read configured to join your Teams meetings, but:
You are not seeing it join or even request to join the call, and
Trying to add it manually gives you an error saying the assistant is having trouble joining
Then you may not have permission to allow Read (an anonymous, unverified guest) to join the meeting. This means you will see your meetings listed on your incomplete reports page with the message "Read not admitted to the meeting within 10 minutes of scheduled start time."
If this occurs, your meeting organizer may have Teams settings configured in a way that is preventing Read from joining. Please see below for the settings that should be checked. Teams settings at an individual level are based on meeting policies, and settings at an organization level are based on meeting settings.
1. Teams Admin Center
"Anonymous users not allowed to join"
A Teams user or organization may have configured their settings to block anonymous users from joining their meetings.
For Read AI to join your meetings, anonymous meeting join must be enabled. In order to do that, the following settings must be configured at organizational level to allow guest and anonymous users to join your meetings:
Go to Microsoft Teams' admin center: https://admin.teams.microsoft.com/dashboard
- Expand Users from the navigation pane. Under Users, select Guest access:
- “Guest access” must be turned on:
- Expand Meetings from the navigation pane. Under Meetings, select Meeting settings:
- In the Meeting settings, the meeting organizer must have the "Anonymous users can join a meeting" enabled:
"Meeting Policies - User Groups"
- Expand Meetings from the navigation pane. Under Meetings, select Meeting policies:
- Either select an existing policy or create a new one:
-
Navigate to the "Meeting join & lobby" section. The meeting organizer must be assigned a Teams meeting policy where the “Anonymous users can join a meeting unverified” control is also turned on.
- If the meeting host will not be able to join the meeting themselves, this setting is important so that someone in the meeting can admit Read AI on their behalf. Set "Who can admit from the lobby" to include "Organizers, co-organizers, and presenters.
Click "Save" to save your settings.
You can read Microsoft's instructions for enabling these settings here: https://learn.microsoft.com/en-us/microsoftteams/anonymous-users-in-meetings
"Anonymous users require verification"
There is a similar setting that will allow anonymous users to join but requires them to pass a human verification check, also known as a CAPTCHA. Read is not able to bypass this check. To learn more about this setting and how to disable it, see this article: https://learn.microsoft.com/en-us/microsoftteams/join-verification-check
2. Individual Meeting Invites
When a meeting host creates a meeting invite, but they are not joining the meeting, someone else in the meeting needs to have the authority to admit Read.
- Open the meeting invite that you created, and go to "Meeting options"
- On the left navigation panel, select "Meeting access", and make sure "Who can admit from the lobby" is set to "Organizers, co-organizers, and presenters":
- Under the same setting, make sure "Require unverified participants to verify their info before joining" is disabled:
