This article explains how to manage folders in Read AI: creating new folders, editing folder details, and deleting folders you no longer need. To add reports to a folder, see Add or remove reports from folders.
Creating a new folder
You can create a folder from any of these places:
-
Folders page: Click New Folder, then choose Personal Folder or Shared Folder.
-
Reports page: Open the drop-down in the Folders column and create a new folder from there.
-
Side navigation: Click + next to Folders in the left menu to create a folder from anywhere in the app.
-
Folder settings: Go to Account Settings > Folders and click Add New Folder.
Folder options
When you create a folder, the Create New Folder window opens. On the Details tab, enter:
- Folder Type (required): Choose Personal Folder (only you can see and modify the folder) or Shared Folder (you and invited members can view and collaborate on reports). Personal is the default.
- Folder Name & Icon (required): Enter a unique name for the folder. You can also choose an icon and color. If you don’t, defaults are used.
- Description (optional): Add a description of what the folder is for.
- Report Access (shared folders only): Choose Viewer (folder members can view the reports) or Editor (folder members can edit the reports). See Shared folders.
You can also use these tabs:
- Members (shared folders only): Add people, teams, or your workspace.
- Rules (optional): Add rules that automatically file future meetings into the folder based on the meeting title or attendees. See Configuring rules for folders.
Click Create Folder. A confirmation message appears and closes on its own after a few seconds.
Editing a folder
You can update a folder’s details at any time:
- Folder Type
- Name (not available for Smart Folders)
- Icon
- Color
- Folder Description (not available for Smart Folders)
- Rules
For shared folders, only the folder owner can change the Folder Type.
Smart Folders are created automatically by Read and sort your reports by topic.
To edit a folder:
- Folders page: Click the three-dot menu next to the folder, then Edit Folder.
- Folder page: Open the folder, click the three-dot menu, then Edit Folder.
On the Folders page, the three-dot menu also has Manage Members (shared folders) and Manage Rules, which open those tabs directly.
Deleting a folder
Deleting a folder doesn’t delete the reports in it. They stay available everywhere else in Read.
- Personal and shared folders: Deleting is permanent. You’ll be asked to confirm before the folder is removed.
- Shared folders: Only the folder owner can delete a shared folder. Deleting it removes the folder for everyone it’s shared with.
- Smart Folders: You can’t delete Smart Folders, but you can hide them. You’ll be asked to confirm. You can unhide it at any time from Account Settings > Folders.
To delete a folder:
- Folders page: Click the three-dot menu next to the folder, then Delete Folder.
- Folder page: Open the folder, click the three-dot menu, then Delete Folder.
- Folder settings: In Account Settings > Folders, click the x next to a folder under Custom Folders to delete it, or the eye icon next to a Smart Folder to hide it.
