Welcome, and thank you for exploring Read! This guide walks you through setup, best practices, and tips for evaluating Read during your trial, so you can get the most out of it. Read AI makes meetings easier with automatic note-taking, powerful enterprise search, robust security features, and seamless integrations. Follow these steps to get started and see how Read can work for you and your team.
All new users get a 7-day free trial of Read Enterprise that starts automatically when they first create their account. You never need a credit card during the trial. When the trial ends, you're automatically moved to the Free plan, where you can keep using Read for as long as you like.
If you don't have a Read account yet and want to trial Read with several people in your organization, follow the steps below.
Note: If you already have a Read AI account and your free trial has ended, you can't start it again. Instead, contact Sales to request a group trial.
Free trials don't include upload credits. Upload credits let you upload your own audio and video recordings to create a Read meeting report for a meeting Read didn't attend, like an in-person meeting or a meeting on an unsupported platform. If you want to test file uploads, you can buy upload credits from your Plan & Billing page by clicking Buy file upload credits. Credits cost $20 per 500 minutes ($0.04 per minute), and purchased credits don't expire. See How can I upload audio and video to Read?
Before you get started
Set yourself up for success
We recommend you take these steps:
- Bookmark this page so you can come back to it easily.
-
Make a list of who should trial Read AI with you. Think of:
- Colleagues who have frequent meetings with multiple stakeholders (for example, operations, sales, or project management).
- A mix of managers and non-managers, so you get feedback from different levels and perspectives.
- People who are likely to give feedback after the trial.
- People who regularly use platforms that can be integrated with Read AI (for example, Salesforce, OneNote, HubSpot, Notion, or Confluence).
- Coworkers who already use Read.
- People who are likely to actively use the product during the trial (not so busy that they won't engage, but with enough meetings to benefit from Read).
- Colleagues who are ready to start now and actively test the product, not just explore passively (for example, they won't be out of office during the 7-day trial).
- Start the trial only when you're ready to add users and test the product. Work with your team to decide when it makes sense to bring the trial into their daily workflow. Creating and configuring a workspace takes about 10 minutes.
Measure results
Keeping a few metrics in mind as you start using Read will help you see its value for you and your team. Before you begin, take a moment to answer these quick questions:
- How much time and energy do you spend on administrative tasks related to meetings (preparation, attendance, follow-up) and emails (reading, prioritizing, responding)? How would you like this to change?
- How much time and energy do you spend sharing, updating, or finding information across teams and platforms (for example, Slack, HubSpot, Salesforce, Jira, Notion, or Confluence)? How would you like this to change?
- How would you describe your efficiency and productivity today? (Consider engagement, follow-ups, tasks completed, how often things slip through the cracks, workload, burnout, and so on.) How would you like this to change?
Steps
Note: The trial starts as soon as you create your account, and you can only start it once. Don't create your account until you're ready to add users and test the product right away.
1. Decide on a workspace owner
Trials work best when the workspace owner is engaged and can coordinate onboarding, configuration, and user invitations.
- If you will be the workspace owner: continue to Step 2.
- If you will not be the workspace owner: share this page with the workspace owner so they can create and configure the workspace.
2. Create your Read account
Go to Read.ai > Create an Account. On the first screen, "Which calendar do you want to use with Read?", choose Google Calendar or Outlook Calendar, click Continue, and give Read access to your main calendar. After that, the Supercharge Your Workflow screen lets you connect tools like Google Meet, Zoom, Teams, and Gmail (or click I'll do this later), and the Wrap Up screen offers Read AI for Desktop and the Read Extension for Chrome; click Finish! You'll then land in the Read AI web app. (If you didn't connect a calendar, a Welcome to Read pop-up asks you to link one.) You'll see a pop-up with a short demo video of what Read does. Take your time reviewing it, then close it as well. In the left navigation you'll see your Enterprise plan marked Free Trial, with the number of days left.
3. Create a workspace
- While logged in, click Join Your Team at the top of the left navigation (or click Create a Workspace on your Plan & Billing page). This starts the 5-step workspace setup.
- On Create a Workspace, add a name for your workspace, check the box to agree to the Data Processing Agreement, and click Next Step.
- Skip creating teams for now (click Skip for now). A main use for workspace teams is automatically sharing all reports with team members or team managers. Treat this as an advanced setting to adjust once you've defined how you'll use teams (for example, for a sales organization or for managers).
- Skip inviting people for now (click Skip for now). You'll do that in Step 6.
- Click Next Step on the Review Workspace default settings page. You'll configure these settings in Step 4.
- Click Finish on the Enable Integrations page. You'll review integrations in Step 4 as well.
Your workspace has been created! The page you land on, Manage Workspace, is where you manage your Workspace Settings. A Free trial activated! banner at the top reminds you that you're on a free trial of the Enterprise Plan. You only need to click Add Payment Method if you want to keep Enterprise features after the trial ends.
To get back to this page later, click your name in the bottom-left corner of the screen and select Workspace Settings.
4. Configure workspace settings and permissions
As the workspace owner, you decide how Read is configured for your organization: auto-join preferences, which integrations are allowed, user access, and a range of other settings. You can change the configuration at any time. For a full list of options, see What are all of the settings and permissions available with Workspaces?
- If you want to go slowly until admins and users are comfortable with the features, we recommend a conservative configuration. Read has to be added to meetings manually, no reports are shared automatically, and access is limited.
- If you're ready to use Read widely across your team, we recommend a collaborative configuration. Read joins meetings and shares reports automatically, breaking down silos by sharing knowledge across teams. This works well if you have an open environment or have used similar tools before.
- You can also meet in the middle with an intermediate configuration. Some things are automated, but you can still start slowly.
Zoom meetings: Read can only join a Zoom meeting if you've connected your Zoom account to Read and you're in the meeting, signed in to that same Zoom account. Ask everyone in your trial who uses Zoom to connect it from Integrations > Zoom. See Upcoming Changes to Zoom Meetings.
Conservative configuration
Start on the Settings tab of your Workspace Settings.
Meeting Auto-Join Preferences
- Select Users manually select the meetings Read joins. Read won't try to join meetings automatically, so you'll need to manually add Read to the meetings you want it in.
- Select Join internal meetings only. This setting won't have much effect, because automatic joining is turned off above.
- Turn off Auto-Join Unscheduled Meetings for the workspace.
Reports & Sharing
- Turn off Downloads. Users won't be able to download report content.
- Under Auto-Report Sharing:
- Select No access for both Internal Participant Access and External Participant Access. No one other than the report owner gets automatic access to reports; the owner has to share them manually.
- Select Do not allow users to update this preference from the drop-down for both Internal and External Participant Access.
- Turn off Allow public link access. This improves privacy and security by preventing unintended viewers from opening a report through a shared link.
- Turn off Domain Discovery and select Do not allow users to update this preference from the drop-down. Workspace members won't be easy to find within your domain when sharing reports. For example, when you type a name to share a report, users won't appear in autocomplete or as sharing suggestions.
- Under Distribution, turn off all options, and make sure Do not allow users to update this preference is selected in the drop-down under Live Meeting Dashboard Link. Meeting reports won't be shared automatically; you can share them manually as needed.
Integrations
- Turn off all integrations except the ones you want workspace users to be able to connect to Read. To start as conservatively as possible, turn off everything except the calendar integrations (Google Calendar, Outlook Calendar, and Zoom Calendar). Workspace integration settings don't connect any integrations for users; they only control which integrations users are allowed to connect.
Permissions tab
The Meeting Report Access and Aggregate Metrics & Trends permissions matter once you start using Teams in your workspace, so you can skip them for now.
Under Advanced Permissions, you'll find Global Report Access. This lets workspace owners and admins view any meeting report owned by users in the workspace. To protect user privacy, Read recommends only enabling this if absolutely necessary.
Done!
Your Read workspace is configured. Next, you can invite others in your organization (see Step 6). As users get more comfortable with Read, you can loosen these settings so they can take fuller advantage of Read's capabilities.
Note: These are workspace settings. Each workspace member (including you) also has individual account settings they can personalize. This configuration is fairly restrictive, so there won't be much to change there. To open your own settings, click your name in the bottom-left corner of the screen and select Account Settings.
Intermediate configuration
Start on the Settings tab of your Workspace Settings.
Meeting Auto-Join Preferences
- For Meeting Role, select Allow Read to join calendar invites when user is the host.
- For Meeting Types, select Allow Read to join internal meetings only.
- Turn off Auto-Join Unscheduled Meetings for the workspace.
Reports & Sharing
- Under Auto-Report Sharing:
- For Internal Participant Access, select Viewer access and Set default, allow users to update this preference. People in your organization who receive a report can see it but not edit it, unless the report owner gives them more access.
- For External Participant Access, select Viewer access or No access, and select Do not allow users to update this preference from the drop-down.
- Turn on Allow public link access and select Workspace members. Anyone in your workspace can open a report if the link is shared with them.
- Turn on Domain Discovery and select Do not allow users to update this preference. Workspace members will be easy to find within your domain when sharing reports. For example, when you type a name to share a report, users will appear in autocomplete or as sharing suggestions.
- Under Distribution:
- Turn on Meeting Recaps only. Reports are shared automatically with meeting participants based on the access you chose above.
- Turn on Live Meeting Dashboard Link and select Set default, allow users to update this preference. Users can share a link to the live meeting dashboard in the meeting chat, and can turn this off if they prefer.
Integrations
Turn off all integrations except the ones you want workspace users to be able to connect to Read. Workspace integration settings don't connect any integrations for users; they only control which integrations users are allowed to connect.
- Turn on the calendar integrations. This lets Read know which meetings to join.
- Turn on your preferred email provider under Productivity. This lets Read create topic summaries of your inbox to surface important conversations.
- Turn on the Collaboration and CRM integrations your organization uses. These let you automatically push action items and reports to those platforms, so Read can help you wherever you already work.
- Turn on your preferred messaging integration so Read can share meeting reports there instead of (or as well as) by email.

Note: These are workspace settings. Each workspace member (including you) also has individual account settings they can personalize. With this configuration, users can change any setting where you selected Set default, allow users to update this preference. To open your own settings, click your name in the bottom-left corner of the screen and select Account Settings.
Collaborative configuration
Start on the Settings tab of your Workspace Settings.
Meeting Auto-Join Preferences
- For Meeting Role, select Allow Read to join all calendar invites.
- For Meeting Types, select Allow Read to join all meetings types.
- Leave Auto-Join Unscheduled Meetings turned on for the workspace.
Reports & Sharing
- Under Auto-Report Sharing:
- For Internal Participant Access, select Editor access and Set default, allow users to update this preference. People in your organization who receive a report can edit it, and report owners can lower the access level as needed.
- For External Participant Access, select Viewer access and Set default, allow users to update this preference. People outside your organization who receive a report can see it but not edit it, unless the report owner gives them more access.
- Turn on Allow public link access and select Workspace members. Alternatively, selecting Anyone with the link means users can share the report link with anyone, and the recipient won't need a Read account. This can be useful when sharing reports with new clients or partners, but keep in mind that with this setting Read has no way of knowing exactly who has access to the report.
- Turn on Domain Discovery and select Set default, allow users to update this preference from the drop-down. Workspace members will be easy to find within your domain when sharing reports, but can choose to change that. For example, when you type a name to share a report, users will appear in autocomplete or as sharing suggestions.
- Under Distribution:
- Turn everything on. Reports are shared automatically with meeting participants based on the access you chose above.
- Make sure Set default, allow users to update this preference is selected in the drop-down under Live Meeting Dashboard Link, so users can turn it off if they want to.
Integrations
Turn on all the integrations you want workspace users to be able to connect to Read.
- Turn on the Notetaking, Collaboration, and CRM integrations your organization uses. These let you automatically push action items and reports to those platforms, so Read can help you wherever you already work.
- Turn on your preferred messaging integration so Read can share meeting reports there instead of (or as well as) by email.
- If your company uses a platform that Read doesn't integrate with yet, let us know! In the meantime, you can turn on Webhooks and Zapier so users can create their own automations.
To protect user privacy, Read recommends only enabling this if necessary.
Done!
Your Read workspace is configured so your company can take fuller advantage of Read's capabilities!
Note: These are workspace settings. Each workspace member (including you) also has individual account settings, which are governed by the workspace configuration. To open your own settings, click your name in the bottom-left corner of the screen and select Account Settings. Each user you invite will have similar settings, which they can personalize depending on how you configured the workspace.
5. Add licenses to your workspace
Right now, you're the only person in the trial, so you'll need to add enough licenses for everyone on your list (one license per user).
- Click your name in the bottom-left corner of the screen and select Plan & Billing.
- Under License Usage, click Add licenses.
- Use Number of licenses to add to enter how many you need, then click Add licenses. No credit card is required. Free trials are limited to 50 licenses.
You'll see a Licenses added! message on your Plan & Billing page, where License Usage shows the total number of licenses. For example, if you're trialing Read with 5 colleagues, add 5 licenses for a total of 6.
6. Add users to the workspace
Now you can invite everyone on your list.
- In your Workspace Settings, go to the People tab and click Add People.
- Type the email addresses of the people you want to invite. Click Add another as many times as you need.
- Click Send Invites.
Invitations go to each person's inbox. Once they accept, they'll be asked to create a Read account to join your workspace. We recommend adding users early so they can make full use of Read during the trial.
Recommendation: How do I start Workspace onboarding? (End-to-end guide) walks your colleagues through creating their Read accounts and joining your workspace. It's a good idea to share it with them.
7. Start working smarter with Read AI!
You're good to go! You'll get a meeting report every time Read joins a meeting.
It's a good idea to get to know the Read AI web app. Here are some useful pages:
- Your Calendar page shows your upcoming meetings on the Upcoming tab, with the Add Read? toggle turned on or off based on your join preferences. You can turn Read on or off for any meeting with that toggle.
- Your Reports page shows reports you own and reports shared with you. If Read ever has trouble recording a meeting, you'll find it under the Incomplete tab with an explanation of what happened. Reports include action items and summaries, plus coaching to help you become a stronger speaker and metrics to help you run better meetings.
- In Account Settings > Report Sharing, you can choose how you're notified when a new report is ready (Email, Slack, or Teams, under Report Distribution > Meeting Reports).
- In Account Settings > Profile & Account, under Sign-In Methods, click Add Account Password to add a password to your account (Read emails you a link to set it). We highly recommend this to protect your access.
- Set your Smart Scheduler availability (Available hours and Minimum notice) in Account Settings > Smart Scheduler to make scheduling meetings with others a breeze.
Note: The For You page and the Meeting Policy page show data aggregated over two weeks, so you may not see much there early in your trial.
Meetings+
Read AI helps you turn conversations into action, so be sure to try Ask Read to find insights across meetings, emails, docs, and chats in seconds. It's like having perfect recall of every conversation you've had, and it goes beyond search results: generate status reports, email drafts, and agendas. New hires can catch up on ongoing projects without lengthy intro meetings. Need something while a colleague is away? Get answers from shared information without interrupting their time off. And when someone moves on, their knowledge stays with the team in your workspace.
Ask Read gets better with teamwork. When your team shares meeting reports and resources, your knowledge base grows and answers get richer and more relevant. You always control what's shared and what stays private, so only the information you choose is available to others.
Give it a try from the Ask Read page!
A few more things to try during your trial:
- Ada, Read AI's Executive Assistant: add ada@read.ai to an email thread to get help with scheduling or questions about your meetings. See Get started with Ada: Read AI's Executive Assistant.
- Read AI Agents: agents like the Monday Briefing are available on paid plans and the Enterprise free trial. See How to Enable Read AI Agents.
Welcome to the community of Read AI users! You're in good company.
Three-day check-in
The trial will be over before you know it, so three days in, check these questions to make sure you're getting the most out of it:
- Have you added Read to a meeting?
- Have you reviewed and shared a report?
- Have you pushed a report or action item to your CRM or another integration?
- Have you installed Read's browser extension, or added the Read app to your meeting platform for easier access?
- Have you used Ask Read to:
- Find a detail discussed in a meeting or in chat?
- Draft training materials?
- Generate a new agenda or a follow-up email from within a report?
- Have you tried Ada or turned on a Read AI Agent?
If you answered "no" to any of these, there's still time! Log in to your Read AI account and start working smarter.
